HubSpot CRM Setup Checklist: A Portal Your Team Will Actually Use

A complete HubSpot CRM setup checklist covering account settings, users, properties, pipelines, data import, automation, reporting and training.

Why use a checklist for HubSpot setup?

Most HubSpot problems come from skipped setup decisions: inconsistent properties, unclear deal stages and messy imports. A checklist makes sure the portal reflects how your team actually sells, so reps adopt it and reports are accurate from the first week.

1. Account foundations

Set company name, currency and fiscal year. Authenticate your email sending domain (SPF, DKIM, DMARC). Install the tracking code on your website. Connect team inboxes and calendars. Configure consent options if you sell to the EU or UK.

2. Users, teams and permissions

Create teams that mirror your organisation. Give users the least access they need. Restrict exports and deletes to admins. Name one internal HubSpot owner who approves new properties and workflows.

3. Properties and data model

Audit default properties before creating custom ones. Use dropdowns instead of free text wherever possible. Define lifecycle stages and lead statuses and write down what each means. Decide how contacts, companies and deals associate.

4. Pipelines and deal stages

Map your real sales process into stages based on buyer actions, not internal tasks. Set win probability per stage. Require key properties at key stages, such as amount before proposal. Create separate pipelines only when processes genuinely differ.

5. Clean data import

Export data from spreadsheets or your old CRM. De-duplicate by email and company domain. Standardise country, phone and industry values. Test-import 50 records, check associations, then import the rest. Keep the original files as a backup.

6. Automation

Start with a few high-value workflows: assign new leads to owners, create follow-up tasks, alert reps to high-intent activity and rotate leads fairly. Add sequences and lead scoring once the basics are stable. Name workflows clearly and document each.

7. Forms, chat and website

Connect website forms to HubSpot with hidden source fields. Route chat or a chatbot to the right team. Set up meeting links for every rep. Make sure every submission lands with a lifecycle stage and owner.

8. Reporting

Build a sales dashboard with pipeline by stage, deals created and won, stage conversion and activity per rep. Build a marketing dashboard with contacts by source and lifecycle progression. Check reports against reality in week one.

9. Integrations

Connect accounting software, WhatsApp, Slack, your product database or ERP through native apps or custom integrations. Decide which system is the source of truth for each field to avoid sync loops.

10. Training and adoption

Run role-specific training for reps, managers and marketers, and record it. Agree simple rules such as every deal must have a next step and close date. Review usage after 30 days and remove fields nobody uses.
